CalArts provides access to enterprise applications used for official CalArts business. These may include CalArts-wide systems, single sign-on connected systems, and department or school systems used for institutional work.
Examples may include Paycom, Adobe, Microsoft 365, Google Workspace, Zoom, Zendesk, Transact, and similar systems. This article explains who may request access, how requests are reviewed, and what to expect during the access request process.
Who This Applies To
Enterprise application access is generally available to faculty and staff when it is needed for work-related responsibilities. Students may receive access when it is required for coursework, student employment, or another approved CalArts-related purpose.
Requesting Access
Enterprise application access requests should be submitted through the Service Catalog. A request may be submitted by the person who needs access, a supervisor or manager, a department administrator, or an application owner. Complete all required Service Catalog fields so IT and the application owner have enough information to review the request.
New Employee Access Requests
For new employees, access requests should be submitted as early as possible. Some application access may not be available until the employee’s CalArts account is active.
Review and Approval
Access requests are reviewed before access is granted. Approval requirements depend on the application and may require approval from a supervisor or manager, application owner, data owner, Human Resources, Finance or Budget Office, or more than one of these parties. Some application access is managed directly by the department or application owner; IT can help route requests through the appropriate review process.
Processing Time
Processing time depends on the application and any required approvals. Requests that require review by an application owner, data owner, HR, Finance, or another department may take longer to complete.
Access Changes and Removal
Enterprise application access may be changed or removed when it is no longer needed, a person changes roles or departments, a person leaves CalArts, or the application owner or department determines that access should be updated. Submit a Service Catalog request when access needs to be changed or removed.
Important Notes
Submitting a request does not mean access will be granted automatically; requests are reviewed before access is provided. Some applications may have additional requirements, restrictions, or approval steps depending on the type of access requested.
