CalArts IT provides short-term loaner laptops for current faculty and staff who need temporary access to a computer for work-related purposes. Loaner laptops are available based on inventory and are not guaranteed.
Students who need to borrow a laptop should contact or visit the Library for student laptop loan options.
Eligibility
IT loaner laptops are available to current CalArts faculty and staff only.
Students are not eligible to borrow laptops through IT Customer Care. Student laptop loans are handled through the Library.
Requesting a Laptop
Faculty and staff must submit a laptop loan request through the Service Catalog before picking up a device.
Requests are reviewed based on need, availability, and the expected length of the loan. Submitting a request does not guarantee that a laptop will be available.
Loan Period
Most laptop loans are short-term and may be approved for up to 2 weeks, depending on the request.
The approved return date will be provided as part of the request process or at pickup
Pickup
Approved laptops can be picked up from IT Customer Care / Help Desk.
Please wait until your request has been reviewed and approved before coming to pick up a laptop.
Renewals
Renewals are available by approval only.
To request a renewal, faculty and staff should either:
- Reply to the existing ticket before the return date
- Visit IT Customer Care / Help Desk before the return date
Renewals depend on inventory, demand, and the reason for the continued need. A renewal is not guaranteed.
Returning the Laptop
Loaner laptops must be returned to IT Customer Care / Help Desk by the approved return date.
Before returning the laptop, please:
- Save any needed files to Google Drive, OneDrive, an external drive, or another approved storage location
- Sign out of all personal and work accounts
- Return the laptop charger and any accessories provided with the device
IT is not responsible for files left on a returned laptop.
Late Returns
If a laptop is not returned by the approved return date, IT will follow up with the borrower.
Late returns may affect future laptop loan eligibility.
Lost, Damaged, or Unreturned Equipment
Borrowers are responsible for returning the laptop, charger, and any accessories in good condition.
If a laptop, charger, or accessory is lost, damaged, or not returned, the employees department or school may be charged for the actual replacement or repair cost.
Availability
Loaner laptops are available based on current inventory. During high-demand periods, IT may not be able to fulfill every request.
