What’s This Project About?
CalArts IT (CAIT), which supports both the CalArts and VCFA communities, is launching a major update to how we manage digital accounts.
Effective account lifecycle management — ensuring that community members are onboarded properly, have the right access to resources, and that accounts are deactivated when appropriate — is essential. When done poorly, it can lead to confusing user experiences, inappropriate access, or even cybersecurity vulnerabilities.
To address this, we’re implementing RapidIdentity, a new identity and access management solution. It will replace QuicklaunchSSO, our current single sign-on system, and bring enhanced two-factor authentication (2FA), automation, and self-service features.
During this transition, some apps may still live behind the old login system at sso.calarts.edu. So you may experience a “double login” for now — logging in first at login.calarts.edu and then again at the older portal. Apps are being moved over in phases, with everything expected to be in place on login.calarts.edu by March 1.

Why Do We Use SSO and 2FA?
Single Sign-On (SSO) lets you log in once to securely access multiple systems (Google, Colleague, Self-Service, Paycom, etc.)—eliminating the need to remember multiple passwords.
Two-Factor Authentication (2FA) adds a critical layer of security by requiring a second step (like a text message or app code) in addition to your password.
🔐 Note: Security questions will be phased out as a 2FA option. More secure alternatives like app codes or email/SMS verification will be used instead.
Why Now?
There are a few reasons:
• Our contract with QuicklaunchSSO ends in March 2026, making this the right time to transition.
• RapidIdentity brings enhanced 2FA, automated access requests, and more self-service features.
• These improvements support smoother workflows and reduce manual workload for our small team.
What’s Changing for You?
• The new login portal will be at login.calarts.edu.
• A new look and feel for the login experience.
• Stronger password requirements:
• Minimum 12 characters
• No easy-to-guess terms like “calarts12345”
• Easier self-service tools for requesting access and resetting passwords.
• VCFA users will join CalArts users on one unified, co-branded login page.
Timeline
• November 2025: First announcement
• December 2025: Follow-up and next steps
• Early January 2026: Registration instructions released
• Late January – March 1, 2026: Registration window open
• March 1, 2026: Migration begins (new login.calarts.edu goes live)
• March 31, 2026: Migration complete
