What are Team Folders?
Team Folders in FileCloud provide a centralized space for groups, departments, or teams to store, organize, and collaborate on files. Think of them as shared drives or network drives, but with more flexibility and control. For example, there may be a Team Folder for the Accounting Department where only Accounting staff can access financial documents.
Accessing Team Folders
You can access Team Folders through either the FileCloud web application or the FileCloud desktop client.
Accessing Team Folders via the Web Application
- Open your web browser and go to the FileCloud web address (e.g., https://filecloud.calarts.edu).
- Log in using your CalArts username and password.
- Once logged in, you will see a navigation pane on the left.
- Click on "Team Folders". Any Team Folders you have permission to access will be listed here.

- Click on the specific Team Folder you want to open. You can then view, download, and upload files, depending on your permissions.

Accessing Team Folders via the Desktop Client
- Open the FileCloud desktop application on your computer.
- Log in using your CalArts username and password.
- In the FileCloud Desktop interface, you can click on the folder button to be directed to the Filecloud folder on your computer.

- Click on "Team Folders". Any Team Folders you have permission to access will be displayed.

- Click on the desired Team Folder. You can then access the files within, similar to accessing files on your local computer.


Managing Team Folder Access (For Team Folder Managers)
Note: These instructions are for users who have been given permission to manage a Team Folder. If you do not have these permissions, you will not be able to add or remove users.
User access for Team Folders
- Log in to FileCloud via the web application.
- Navigate to the Team Folder you want to manage.
- Hover over the folder and select the “Share” icon.

- A panel will appear, showing the share settings, including current users who have access to the Team Folder, as well as what their permissions are.

In this case, jtenzer has full managerial control over the share, while the test account can only upload and download.
- To add a user, select "Invite Users."
- Enter the CalArts email address of the user you want to add.
- Select the user from the search results.
- Set the permissions for the user. You can control what the user is allowed to do (e.g., view files, download files, upload files, delete files). You can change these permissions at any time.
- Save your changes. The user will now have access to the Team Folder.
- To remove a user from the share, hit the “X” on the far right column from their name.
