Hubtime Supervisor Question: Is there a way to make the employee in/out data the first screen you see when reviewing timesheets?

To view employee in/out data, you have to check the "The employee has time in/out data. To review it, check the box" box.  Is there a way or setting in which you can see this as the first screen?  For hourly employees, it would make way more sense, as the default screen only shows the regular hours, and not the time in and out.

I agree 100% with Drew! If their is a way to make the time in/timeout screen the default that would be very helpful. To check the box to request this data and then select submit is to may steps when the supervisor has a large volume of students to oversee.

This might also help catch the user error when a student inputs the wrong hours and is working more then one job on that day. A supervisor should immediately notice that the time in/out hours are wrong even if the actual total hours the student worked for that department might be correct. We had four cases of overtime last pay period in the film library...not good.

I also think as a supervisor that it would be nice if the time in/time out screen was the first you see when viewing an employee time card.

One thing I would also like to see as an alternate for ALL of the Theater School student jobs is the history for each student. I can only view history for the employees that I am a direct supervisor for.  It would be helpful in reconciling our books.

We're going to be asking our consultants regarding the default view.  If it is a programming customization we won't be able to even consider it until the system is fully in place.  If it simply a change of an option it will be an option that is up to HR (since they are the team in charge of that module) that IT can, at least, provide recommendations on.

Christy, regarding the 'global alternate' idea, I would ask either Jamie or HR about that.  Seems like a good idea from the IT perspective, but we don't have much control over that.

How are you all handling timesheet approvals so far?

Chris the timesheet approval process is really easy. Now if I could only make my Faculty understand just how easy it is more of them might actually approve their student assistant's timesheets. I will contact HR about the other question.

I'd say the process takes me about the same amount of time or more than the old system.  Mostly because of few functionality issues like a simple "select all" option for the check boxes.  Also, an option to go forward and back in sheets as we're reviewing would save a lot of time.  If I click submit and then need to go back, I have to recheck the box and start the whole series over again.

I realize this is not something you guys are able to change at the current time, but it seems like a extremely basic function that really has no reason to not be added.  Would be great to make the vendor aware of this.

I really like that suggestion Drew. It does seem like a basic function to be able to go forward and back when reviewing a large volume of time sheets. Having to go back to the main page and deal with all of the checked boxes is not very good use of a supervisors time.

These are great ideas.  I'm hoping that as we all use the system more we'll find efficiencies and/or short cuts to use.  Clearly there are some preferences that we'd like to be changeable (the ability to check all the boxes, for instance).  We'll definitely be keeping these in mind when we get to the point where the whole system is in place and we're on solid ground to build from, so to speak.
