Account separations occur when CalArts IT receives notice from the Provost's Office or Human Resources that a Faculty or Staff member is no longer employed by the Institute.
Unless special circumstances dictate otherwise we process separation notices the same day we receive them.
Faculty
The Provost's Office is responsible for notifying IT of Faculty separations. This generally happens when it is determined a Faculty member's contact is not being renewed.
In those instances the IT office will:
- Disable the Hub account
- Change the email password and disable forwarding and any other potential external access
Staff
Human Resources is responsible for notifying IT of Staff separations. This generally happens on the last day of employment.
In these instances the IT office will:
- Disable the Hub account
- Change the email password and disable forwarding and any other potential external access
CalArts accounts are generally not deleted upon a separation. Instead we just change the password and sever external access to accounts.
Certain account-related access like Adobe Creative Cloud subscriptions are not directly affected by separations. In those cases the Faculty or Staff member will be unable to renew subsciptions using their former @calarts.edu email address.
IT is unable to restore access to disabled accounts without written authorization from the Provost's Office or Human Resources.
